Estimates on Letterhead
– This is a letter to the client explaining in detail all the costs involved in the design process.

“Your design Company name here will provided all the designs and layouts for (Client Name here)’s Designs for the Magazine Ad, Newspaper Ad, and Billboard including printing and installation costs. Your design Company name here retains all rights of photographic images. Usage rights will be granted on a per project basis. Ownership may be transferred to client in writing and after payment of fair market value.”
Then list in detail the items you will charge for, the price, design labor hours calculated and add for a total for each design piece and then a total estimate for the entire package.
“This estimate does not include the cost of any shipping charges or applicable taxes. Your design Company name here is willing to transfer photographic film and rights to client name here upon full payment of services rendered for said project and fair market value of said images and usage rights. Your design Company name here retains the right to use copies of said images as examples of the final product for Your design Company name here promotional needs.
This is an estimate, based on information provided. Prices may not reflect travel time at Going rate per hour, mileage @ current rate of … cents per mile, couriers fees, or taxes. Items not listed above will be considered Client Additions billable at the hourly rate of $Going rate per hour. In the event of cancellation, Client will be responsible for all costs incurred to date. Any modifications or changes to this estimate will be Client Additions billable at the hourly rate. If approved, please sign below and email back to us. Your digital signature or any instruction verbal or otherwise to proceed indicates your acceptance of this estimate.

Terms: One third of this estimate is due in order to initiate your project; the second third is due upon delivery of the first proofs, final balance is due in full upon delivery of the final product. In the event of cancellation, the balance of work to date is due in full. Studio will closely measure time and totals. If the project will go outside of this estimate, Client will be contacted to decide how to proceed. Client will be responsible for any and all costs incurred to date.
